Information we collect

Account Information: Name, email, organisation, trade/role.
Plan Data: PDF files you upload and the corrections or annotations you make. This may include data used to generate prenail and foundations outputs.
Usage Data: Processing events, edits, and error logs.
Billing: Handled by Stripe. We do not store full payment card numbers.

How we use information

To Provide the Service: To extract quantities and manage your projects. This includes generating prenail foundations and painting takeoffs from uploaded plans.
To Train Our AI: We use uploaded plans, corrections, and annotations to train and improve our machine learning estimation models. Personal identifiers are removed from data used for this purpose where possible.
To Facilitate Transactions: To connect you with suppliers when you request quotes.
To Communicate: About updates, support, and service-related offers.
To Comply: With legal obligations.

Where commercially and technically feasible, we apply de-identification to plan files and annotations before using them for model training or analytics.

Data sharing and commercial connections

Service Providers: We share information with technical service providers under contract, including cloud hosting (NZ/Australia regions) and payments (Stripe). Some providers may support vision processing used for prenail and foundations detections.
Integration Partners & Suppliers: If you utilise features to request quotes, pricing, availability, or material orders (e.g., "Connect to Supplier" or "Order Materials"), we share specific Project Data (such as material quantities, site location, and project timing) with the relevant Third-Party Suppliers to facilitate that transaction.
Subsidised & Sponsored Accounts: If your account is provided, sponsored, or subsidised by a Commercial Partner (e.g., a timber merchant or building association), we may share usage statistics and project metadata with that Partner as part of the sponsorship agreement.
AI Processing: We utilise third-party Artificial Intelligence providers (such as Roboflow) to process your data. This may involve the transfer and temporary processing of data in the United States. By using the Service, you authorise this transfer. This processing may be used to generate both prenail and foundations outputs.
No Sale of Personal Data: We do not sell your personal contact information (email, phone number) to unrelated third-party advertisers. We may, however, commercialize de-identified and aggregated market intelligence as described in our Terms of Service.

Retention

Active Plan Files: Files available in your dashboard are retained to support your projects until you delete them or terminate your account. On account termination, these files are removed from user-facing systems within a reasonable period.
Training and Service Improvement Datasets: For the purpose of maintaining and improving model performance, plan files and derived datasets that have been used for training or evaluation are retained in secure training environments. These datasets are not restored to user-facing projects and are protected by access controls. Where commercially and technically feasible, we use de-identified data for training and evaluation.
Legal Holds and Disputes: We may retain information as required by law or to establish, exercise, or defend legal claims, including during investigations of alleged infringement or misuse.

Security

We use industry-standard encryption (TLS/SSL) for data in transit and rest. However, no method of transmission over the Internet is 100% secure.
